Job Description

About the Role 

Reporting directly to the Chief Executive Officer, you will play a central role in supporting the CEO and the efficient running of our Support Office. This is more than just an administrative position — it is an opportunity to contribute to a for-purpose organisation and enable initiatives that have a lasting impact on the lives of children and families. 

In this varied and rewarding role, you will: 

  • Provide executive support to the CEO, anticipating needs and ensuring they are well-prepared and organised. 

  • Manage diaries, meetings, and travel arrangements with accuracy and foresight. 

  • Manage CEO correspondence and maintain accurate records and files. 

  • Coordinate internal and external meetings and events to ensure they run seamlessly. 

  • Oversee office administration and support the effective operation of our Support Office in Erskineville. 

  • Coordinate the Board meeting cycle, including agendas, meeting papers, and follow-up actions. 

  • Assist the CEO in building and maintaining strong relationships with key external stakeholders. 

  • Lead and deliver organisational initiatives and projects on behalf of the CEO, including our Reconciliation Action Plan. 

  • Provide project support to the Executive Leadership Team (ELT) and act as a conduit for information sharing. 

  • Contribute to a positive, purpose-driven Support Office culture with a strong customer service mindset. 

  • Balance competing priorities and deadlines with calm and professionalism. 

 

About You 

We are seeking a proactive, organised, and adaptable professional who thrives in a fast-paced, purpose-driven environment and enjoys working closely with senior leaders. You will bring: 

  • Foresight and initiative – anticipating needs, spotting challenges early, and keeping the CEO one step ahead. 

  • Strong organisational skills – confident in managing multiple priorities and shifting demands. 

  • A collaborative spirit – able to build positive relationships across the organisation and with external stakeholders. 

  • Customer focus and values alignment – motivated to deliver excellent service while upholding our organisational values. 

  • Discretion and integrity – handling sensitive matters with the highest level of confidentiality. 

You are not just comfortable managing the day-to-day, but also confident in identifying improvements and contributing to projects that enhance how we work. 

 

Key Requirements & Skills 

  • Proven experience as an Executive Assistant or Office Manager. 

  • Exceptional multitasking and time management abilities. 

  • Strong written and verbal communication skills. 

  • Proficiency in Microsoft Office Suite and confidence with digital tools. 

  • Ability to adapt to changing priorities while maintaining attention to detail.
